Who we are

Clay Consulting Group Ltd ("Clay", "we", "us") is a company registered in England and Wales, providing marketing and business support services to therapists, counsellors and therapy organisations. Our website is clayconsulting.co.uk. If you have any questions about this policy or how we handle your data, contact george@clayconsulting.co.uk.

We are the data controller for personal information collected through this website.

What we collect

We only collect information you choose to give us, plus limited technical data needed to run the site.

Information you give us

Contact form: your name, email address, optional phone number, what you are looking for, how you heard about us, and whatever you write in the message field.
Launch onboarding form: the above, plus your professional title and qualifications, your location, how you work, and the content you provide for your website pages.
Booking a call or a session: your name, email address, an optional phone number, the date and time you pick and your time zone, and your answers to a few short questions. For a free call, those are whether you are a sole practitioner or writing on behalf of an organisation, and what you would like to discuss. For a Growth Session, they are your practice website, what you want to use the hour for, how long you have been in practice, and anything else you want to add.
Growth Check: your first name and email address, your practice name or training organisation if you choose to give it, your answers to the Growth Check questions, and whether you ticked the box to receive practical tips from Clay (no more than once a month).
Email: anything you send us directly.

Information collected automatically

Standard server logs from our hosting provider, Netlify, including IP address and browser type, used for security and to keep the site running.
Google Analytics (GA4), but only if you accept it. When you first visit, a banner asks whether you are happy for us to use it. Nothing is stored and no analytics cookies are set unless you accept, and if you decline we do not measure your visit at all. If you accept, we collect the pages you view, roughly where in the world you are, the type of device and browser you are using, and how you arrived at the site.
PostHog. If you accept, it uses a cookie and records the pages you view, the buttons and links you click, and whether you open a booking calendar, book a call or send an enquiry. Until you accept (if you decline, or before you have chosen), it stores nothing on your device and only counts your visit anonymously: PostHog works out a temporary ID on its own servers from your IP address and browser details, mixed with a random value that changes every day and is then deleted, so you cannot be recognised from one day to the next and your IP address is not kept. Either way, on the Growth Check it records how far you get, which branch of questions you were given and the general category of your result, never your answers. If you accept, PostHog may also record a replay of your visit (the pages you view and how you scroll, click and move around them, along with technical error messages from your browser) to help us spot what's confusing or broken. Anything you type into a form is hidden from these recordings, the Growth Check questions and answers are hidden too, and recordings are deleted after 30 days. Unless you accept, nothing is recorded. It never records what you type into our forms.

Why we use it, and our lawful basis

To reply to your enquiry — on the basis of taking steps at your request prior to entering a contract, or our legitimate interest in responding to people who contact us.
To deliver our services — on the basis of performing our contract with you.
To create and send your Growth Check report: on the basis of our legitimate interest in providing the free assessment you asked for.
To send you practical tips, no more than once a month: only if you ticked the box on the Growth Check, on the basis of your consent. You can unsubscribe at any time.
To understand how the site is used: on the basis of your consent where you accept analytics cookies, and our legitimate interest in counting visits anonymously where you decline or have not yet chosen.
To keep records and meet legal obligations — on the basis of legal obligation.

We do not sell your information, and we do not use it for advertising.

Who we share it with

We use a small number of service providers who process data on our behalf:

Netlify — website hosting and form submissions.
Titan — business email.
Cal.com — scheduling. It runs the booking pages for the free call and for Growth Sessions, and holds the booking details listed above.
Stripe — payment processing, including the card payment taken when you book a Growth Session. Stripe handles card details directly; we never see or store them.
Resend — transactional email, including sending your Growth Check report.
Supabase: secure database storage for Growth Check answers and contact details.
Google — Google Analytics, only where you have accepted analytics cookies, and Google Meet, which hosts the video calls and provides the joining link.
PostHog: website analytics and, where you have accepted cookies, session recordings; anonymous counting without cookies where you have declined or not yet chosen. Data is held in PostHog's EU region.

Some of these providers are based outside the UK. Where that is the case, transfers are protected by appropriate safeguards such as standard contractual clauses. We do not share your personal data with any other third parties.

How long we keep it

Growth Check answers and contact details are kept for up to two years after you take it, unless you ask us to delete them sooner. Contact form, booking and onboarding submissions are retained for as long as we have an active relationship with you, and for up to two years afterwards in case of any queries. You can ask us to delete your data at any time — see below.

Your rights

Under UK GDPR, you have the right to access the personal data we hold about you, ask us to correct inaccurate data, ask us to delete your data, object to how we're using it, and withdraw consent at any time where we've relied on consent to process your data. To exercise any of these rights, email george@clayconsulting.co.uk. We'll respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

The only non-essential cookies this site sets are from Google Analytics and PostHog, and they are set only if you accept them. On your first visit a banner asks you to choose. Until you accept, no cookies are set: Google Analytics stays off, and PostHog only counts your visit anonymously, as described above, without storing anything on your device. That is the same whether you decline or simply haven't chosen yet.

Your choice is remembered in your browser's local storage so you are not asked again on every page. You can change your choice at any time using the Cookie settings link in the footer of every page. To change your mind, clear this site's data in your browser settings and the banner will appear again on your next visit.

We set no advertising cookies and do not use the site for advertising.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Significant changes will be communicated by email if we hold your contact details.
